Before You Call: What an Event Company Website Should Tell You
You can filter out half your shortlist from the website alone. A credible event company website should have:
- ✓ A physical address and a landline or verifiable mobile number, not just a contact form
- ✓ Real event photos with recognisable local venues, not stock imagery
- ✓ Named services (weddings, corporate, birthdays) rather than a vague "we do everything"
- ✓ Some sense of pricing, even as ranges, or a clear explanation of how they quote
- ✓ Reviews or testimonials you can cross-check on Google
- ✓ An about page naming the people behind the company
If a site has none of these, move on. If it has most of them, it is worth a call.
The 12 Questions to Ask an Event Company
1. Have you done an event of this type and size before? Can I see it?
Good answer: specific examples with photos, guest counts and venues, ideally from the last year. Weak answer: a general portfolio with no scale information.
2. Who will be on site on the day?
You want a named lead coordinator and an estimate of crew size. If the person selling to you is not the person running your event, ask to meet the one who is.
3. What is in-house and what is subcontracted?
Planning, design and coordination should be in-house. Catering, sound and photography are often partners. Either is fine, but they must name and vouch for every partner.
4. Can I have an itemised quotation?
A lump sum hides margins and makes comparison impossible. Insist on line items for venue, decor, food, production, entertainment, logistics and their fee.
5. What does your fee cover, and what is extra?
Clarify transport, overtime, extra crew, damages, generator fuel and last-minute additions. Surprises here are the most common source of post-event disputes.
6. What is your payment schedule?
Typical: a booking advance, a milestone payment before the event and a final settlement after. Be cautious of anyone asking for most of the money upfront.
7. Can I see your contract before I pay?
The contract should list every function, every deliverable, dates, payment milestones, cancellation terms and what happens if a vendor fails.
8. What is your backup plan for rain, power failure or a vendor no-show?
A professional has specific answers: a covered area on standby, dedicated generator capacity, a second caterer or decorator they can call. "It has never happened" is not a plan.
9. How many events are you running on my date?
An honest answer. One company can run several events on a busy date if it has separate teams, but you should know which team is yours.
10. Can I speak to two recent clients?
References from the last 12 months, for events of a similar type. Call them.
11. How do you handle changes after booking?
Guest counts move, menus change, functions get added. Ask how changes are priced and documented.
12. What do you need from me, and by when?
A good event company gives you a timeline of decisions you must make. If they cannot, they have not planned your event yet.

- ✓ Pressure to pay a large advance "to hold the date" before a contract
- ✓ Portfolio images that appear on other companies' websites too
- ✓ No written contract, or a contract with no scope section
- ✓ Vague answers about who will be on site
- ✓ No references, or references only from several years ago

Score each shortlisted company from 1 to 5 on the following, and weight the first three highest:
- • Relevant experience at your event type and scale
- • On-ground team named, experienced and available on your date
- • Transparency of quotation, contract and payment terms
- • Design quality shown in recent work
- • Vendor network depth for your city and season
- • Communication speed and clarity during the enquiry stage
